Make each item easy to locate

A handover list is more useful when each point names the room or outdoor area, the visible issue and the effect on normal use. A note such as a bathroom cupboard door catching is clearer than a general statement that the property needs repairs.

A maintenance list records observations; it is not a formal condition report, assessment of responsibility or statement about compliance. Do not ask a guide to decide cause, liability, repair method or who must pay for work.

Record roles and access without sharing private details

Name the tenant, owner or manager roles relevant to the next conversation and identify who can discuss or approve proposed work. Contact preferences, access restrictions and timing preferences are useful at this stage.

Do not include access codes, keys, tenancy documents or personal information in a first message. Necessary access details can be shared directly only after arrangements for a particular request have been discussed and confirmed.

Keep the next step traceable

Use a simple status for each item: information needed, ready to discuss or may need further assessment. This separates a small visible task from a concern requiring a different professional or approval path.

A clear list helps MEL ONE discuss a request but does not establish approval, a booking, accepted scope, timing or final price. Proposed work needs confirmation with the appropriate decision-maker.
